How to stop double-bookings from Instagram and Messenger DMs

Two clients ask for Saturday 2pm in two different chats. You reply to both between appointments. One of them shows up to find someone already in the chair.

Double-bookings from DMs are not a discipline problem. They happen because the schedule lives in your head and in five chat threads at once. The fix is to make one place the only source of truth.

Why DMs cause double-bookings

  • Several people (you, staff, a partner) reply from different phones.
  • A slot feels taken when you offer it, but it is not held anywhere.
  • Clients take hours to confirm, and by then the slot was offered to someone else.
  • Service lengths are guessed in chat, so a long set runs into the next client.

Step 1: Pick one calendar and make it the rule

Every booking, from any channel, goes into one calendar before you say yes. Not a notebook, not a screenshot of a chat. If it is not in the calendar, it is not booked.

Step 2: Let clients book themselves

A booking link only shows open times, so two people cannot pick the same slot. Put the link where clients already are:

  • Your Instagram bio and Facebook Page button.
  • An instant reply in Messenger, set up in Meta Business Suite, that answers every new chat with your link.
  • A saved reply for the questions you get most, such as price or availability, ending with the link.
  • Your Google Business Profile. See our guide on adding a booking link to Google.

Step 3: Set real service lengths and buffer time

Time each service honestly, including cleanup. A gel set that really takes 90 minutes should never be booked as 60. Add a few minutes of buffer between clients so one running over does not push the whole day.

Step 4: Use a hold rule for DM bookings

If a client still books by chat, put them in the calendar as soon as you offer the slot, and release it if they do not confirm or pay the deposit by a set time. This stops the same slot being offered twice.

Step 5: Give staff one place to look

If more than one person takes bookings, everyone should check and write to the same calendar from their own login, not their own notes.

How Nabbee helps

  • Your booking link shows only open times, and each time is checked again at the moment the client books, so two clients cannot take the same slot.
  • Each service has its own length, and you can add buffer time between bookings.
  • Staff each have their own hours, and clients can choose who they book with.
  • Deposits to your own GCash or Maya, with proof uploaded at booking.
  • A waitlist for clients who want a time that is already full.

Questions owners ask

Will clients actually use a booking link?

Most will, especially if your instant reply sends it right away and the page shows prices and open times. Keep answering questions in chat as usual.

What about clients who only want to chat?

Book them yourself into the same calendar while you chat. The rule is one calendar, not one channel.
